  1. Review and Approve Schedule for 2005 "Report to the Community"

 

Preliminary schedule for the "Report to the Community 2005" was distributed as a handout.  There are two key periods, the initial writing period, 11/8-12/30 and the final review of the draft narrative and incorporation of final two months data from 1/9 - 1/27. 

 

The schedule was amended to add 11-9 as the due date for graphics submissions.

 

General discussion on the report:

 

Fred will contact County Duplicating Department to see if they can handle this type of printing project. 

 

Quantity of reports discussed as we have a lot left over from 2004.  Suggestion was made to print 250 only; everyone asked to survey distribution needs.  Next year's report will be four pages longer as DV intervention programs and the Court are augmenting/expanding the narrative for their programs.

 

Alan advised that data from the Courts would include some civil but no criminal statistics.  David Rabow commented that he may not be available to do the Courts and Child Witness narrative this year; and Alan will contact the Courts to see who could write their narrative; and will contact CPS about the Child Witness section.

 

Alan solicited the committee's input on artwork for the 2005 report, particularly from the advocacy and intervention agencies.  Please bring any artwork submissions to the 11-9 meeting.

 

  1. Questionnaire Additions / Deletions / Changes:

 

Janet Seminerio raised the issue of the difficulty of providing unduplicated counts each month for her agency.  Since she is able to generate an unduplicated yearly count easily, a possible solution may be to use the yearly statistics and then spread that number across the months using the monthly totals as an allocating factor.    Any change like this would require some discussion in the narrative to explain possible differences from the previous year.  Janet will contact the other advocacy agencies to see if they have a similar issue.

 

There was group discussion regarding the need for modifying question “34 How many clients were you unable to provide shelter for” into two questions.  The first, identifying the number of clients that were eligible but denied access to the shelter and the second, identifying the number of clients that were ineligible and were denied access to the shelter.  No changes were made but this item will be discussed in more detail at the November meeting.

 

Alan announced that statistics through the month of October would be distributed prior to the November meeting for a preliminary review.

 

Alan also requested that committee members identify program changes in the narrative portion of the report this year that may impact the statistics when compared to prior years.

 

Law enforcement agencies will be asked to review the 2005 statistics for consistency and for variances, and to coordinate on the variances.  LEAs should also ensure that all agencies are defining incidents uniformly.

Committee members reviewed and approved the proposed schedule of meetings to be held on 11/9/2005, 12/14/2005, 1/11/2006, 2/08/2006, and 3/08/2006.
